eMalaya, Project Tracking and Time Billing tool, integrated with Microsoft DevOps

Benefits

eMalaya is to the production of a service company what a CRM is to Sales.

1.

First and foremost, it allows the collection of data that will then be used for a set of needs and other functions: Billing, Project Monitoring, Pay, Request for Research and Development, Dashboard.

2.

Employees make only a one-time entry (completed and outstanding) with task number for assignment to projects in one place.

3.

Project Managers easily get the "projection" of their projects (real + remaining to be done).

4.

Allows for fair and transparent invoicing.

Context

Projects are almost always complex, involve many resources, and are often spread over several months. Thus, over time, the vast majority of Projects will face potential pitfalls that will result in cost overruns.

Even today, employees still have to enter the time worked in one system for billing purposes (Time Billing) and usually enter the "leftover" in another system, usually DevOps or Jira.

In this context, it is not easy for Project Managers to adequately follow the progress of their projects without using data from different systems to calculate the projection, i.e. the actual time executed plus the remaining work to be done.

Let us add that the task of Project follow-up is all the more complex for the Manager since he must deal with data used for different purposes: project follow-up, invoicing, capacity management, absence management, overtime management, etc. In addition, this data generally follows different time cycles; Invoicing is monthly, Sprints are generally spread over 3 weeks and Tasks are defined and executed on a daily basis.

In a word, it is quite difficult for the Manager to follow up on his Projects in real-time and to evaluate their performance.

Challenges

Enable a single time entry, in one place, for employees.

Represent time sheet entry from the employees' view. They work on tasks, not in a project/sub-project/sub sub-project hierarchy that is used for billing.

Allow Managers to adequately and accurately monitor projects; in particular, to know at all times, the hours worked and the hours to be done to extrapolate a projection (actual + remaining to be done).

Allow simplified invoicing for the Administration.

Functions

Static Data Entry

  • Name, contact information, tax numbers, etc. of the user company
  • Names of employees
  • Task type names (analysis, meeting...)
  • Rates by type of task

Projects Entries

  • For projects not related to DevOps, entry of the project structure
    • Project Names
    • Sub-project (4 levels)
  • Associating resources (employees) to different projects or sub-projects
  • For projects related to DevOps, this structure will be automatically imported from DevOps when entering a timesheet with a task number. It will follow the structure of the task number:
    • Project
    • Epics
    • Features
    • User Stories

Time Sheet Entry

  • Entry of days worked or on leave
  • Entry, by day, of timesheets, either by client / project / sub-project, or by DevOps/Jira task number.
  • Entry of expenses related to a project

Invoicing

  • Approval Module
  • Customer Billing Module
    • Expense Management
    • Discount management
    • Adjustment management

Dashboard

  • Data extraction in order to generate a dashboard
  • Various project tracking graphs already integrated
  • Excel extraction to answer any metrics request

Solution

eMalaya, Project Tracking and Time Billing tool, integrated with Microsoft DevOps

  • An application for entering time sheets and invoicing for all types of service companies.
  • An application linked to DevOps (Jira to come) allowing employees to easily and quickly enter time sheets as well as the rest to be done by task number, whether on a computer or a phone.
